The Summer Admin Coordinator role is an integral part of Kaleidoscope Theatre’s operations. This entry level position provides casual employment in the arts sector. The Admin Assistant is accountable to the Director of Business and Development and the Executive Director and will work closely with the Education Director, Recreation Program Leaders, and Teaching Artists for the successful daily operations of a professional arts organization. 

Responsibilities

  • Communicating respectfully and professionally with clients, provide general reception services, and administration assistance as needed to support the needs of the organization.
  • Providing a warm and congenial welcome to all who visit the Kaleidoscope Arts Centre, creating a patron-centered environment that runs smoothly and ensures satisfaction with all ticketing and theatre school registration experiences.
  • Using theatre school management system (ACTIVE CCM) with ongoing accurate data management.
  • Managing a multi-line phone system (Dialpad).
  • Managing single ticket, subscription, and group sales and maintaining accurate account records using the theatre's current box office system.
  • Handling all transactions with attention to detail, discretion, and security, and managing confidential information with professionalism.
  • Processing and issuing single tickets and subscription tickets – sales, exchanges, and reprints.
  • Demonstrating the ability to balance multiple projects, meet deadlines, and communicate effectively in a fast-moving environment that requires flexibility.
  • Assisting at performances to manage Front of House responsibilities.
  • Acting as an ambassador for Kaleidoscope Theatre at community events.
  • Printing and photocopying for Teaching Artists and other clerical duties.
  • Selling tickets and processing payments using POS systems.
  • Organizing and processing studio rental bookings.
  • Invoicing clients.
  • Other duties as required

  • Ability to work evenings and weekends as required.
  • A love of the theatre and awareness of Kaleidoscope’s programming activities
  • A love of working with young people
  • Preference will be given to candidates with a Performing Arts, Education, or Marketing background
