Overview

We are currently looking for a “willing to grow” Office Coordinator to join our small but empowered group. You will have a professional manner, positive attitude and take pride in your work. You easily accept new ideas and challenges and are a highly motivated thinker who can adjust to changing demands of the company working in an international corporate environment.

This role requires extensive software skills, including proficiency with MS Office Suite including Power Point, SAP, Internet research abilities and strong communication skills. You are highly responsive, flexible, upbeat possessing a willingness to learn new things. You enjoy being in a role that supports others to create a positive work team environment. You take initiative and can carry a task through to completion with confidence knowing that questions can be asked to support your success.

We are located in the Vancouver Island Technology Park. Company is easily accessible by bus service.

Must have or be willing to obtain a passport in good standing for Domestic and International travel (as required)

Hours of work: Mon-Fri 7:00am to 3:00pm, flexibility to accommodate availability can be negotiated

Successful candidate will be required to pass a criminal records check and security assessment.

Responsibilities
Receptionist:

· answer the phone and direct calls.

· open, sort and distribute incoming correspondence.

· Filing, printing and note taking

· Schedule management

Administration:

· arrange staff meetings and record minutes

· research as directed by Supervisor

· interact with team members for ordering of office supplies

· carry out unsupervised editorial review of correspondence

· Coordinate with facility management for minor office maintenance.

Support:

· Assist with accounts payables and receivables

· Provide back up support for payroll

· Assist with proofreading and formatting of documentation

· Assist project management with creating PO’s, invoicing, liaising with clients, cost and hour tracking. Provide technical research on open-source publications.

· Provide travel and conference planning support

Experience
-Experience with basic accounting functions such as accounts receivables/accounts payables would be an asset.

2+ years’ experience working in an office environment would be an asset.

Knowledge of government procurement process would be an asset.
