The Greater Victoria Chamber of Commerce (“The Chamber”) works together to build good business and great community for all. Today, with nearly 1,400 members, the Greater Victoria Chamber of Commerce is the 3rd largest chamber in British Columbia. We represent the interests of small, medium, and large businesses across all industries. 

We are seeking a dynamic, detail-oriented Administration Assistant to join our team to support our office operations.  

Job Description

The Administration Assistant plays a crucial role in the day-to-day operations of The Chamber. This position involves a range of administrative tasks, including data management, member engagement, and office organization. This role will also provide support to the Membership Team & Events Team, assisting with event preparation and membership communications. 

Key Responsibilities 

  • Utilizing customer relationship management software (CRM) to remediate data, track KPIs, and administer membership changes.
  • Engaging our members, answering questions, developing directory listings, and enhancing the value of chamber membership.
  • Processing member renewal payments and answering general member inquiries.
  • Preparing new member and renewal member packages for mailing.
  • Ordering supplies, overseeing a variety of standard office equipment and office inventory, and keeping the office organized and presentable.
  • Assisting with event set up and tear down (ability to lift up to 20 lbs) and attending various events.
  • Assisting CEO with phone calls and meeting scheduling, preparing for room rentals and internal meetings.
  • Working with our team to identify opportunities to move towards our vision of being the most diverse and influential business association in the region, encouraging newcomers and indigenous involvement.
  • Other administrative duties as assigned.

Qualifications 

  • Diploma or Degree in Business Administration, Communications, or equivalent. 
  • Proven experience in administration, office management, or customer service roles.
  • Commitment to diversity, equity, and inclusion principles, with the ability to create an inclusive and welcoming environment for all Chamber members. 
  • Working knowledge of office processes and equipment (commercial printer, postage meter, etc.).  
  • Strong organizational skills and attention to detail.
  • Self-motivated, goal-oriented, and able to work independently
  • Flexible, efficient, and willingness to learn new skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook, Teams, Planner) is an asset.
  • Experience with Canva and Adobe Creative Cloud is an asset.
  • Experience with CRM systems is an asset.

  • Compensation: The Administration Assistant will receive a salary of $45,000 annually. 
  • Performance Bonuses: Bi-monthly performance bonuses based on the Membership & Events team's progress toward annual key performance indicators (KPIs), up to $6000 annually. 
  • Flexible Schedule:  Chamber Staff have the choice between ‘Friday Flex’ Hours or Standard Hours
    • Friday Flex: 8:00-4:30 Monday to Thursday, 8:00-2:00 Friday
    • Standard Hours: 8:30-4:30 Monday to Friday
  • Extended-Health Benefits: Chamber Group Health Benefits, available after 6-month probation period.
  • RRSP Contributions: Matching RRSP Contributions, available after 2 years of employment.
  • Vacation Pay: 3 Weeks of paid vacation annually.
  • Hybrid Work Option: Option to work from home twice a week, available after 6-month probation period.
  • Networking Events: Access to networking events and extensive contact list in the region.
