The Opportunity

This role is about making sure our buildings are great places for our commercial and residential tenants to live or work. We’re looking for someone who genuinely enjoys working with tenants, loves the complex nature of building maintenance, and thrives on solving problems for a family business. This role focuses on facilities management of Fort Properties’ curated portfolio, but it also provides exposure to real estate development and asset management with the opportunity to actively collaborate on planning new buildings.

Reporting to Ownership, the Facilities Manager will plan, perform and supervise regular building maintenance and trades, respond to tenant concerns and maintain positive relationships with tenants, manage the facility & maintenance budget, and oversee a third-party property management company for some buildings. You bring a knowledge of construction, plumbing, HVAC, electrical, and security systems and are interested in emerging building technology.

We are looking for an organized person with experience from hands-on repairs to long term capital projects planning. Our ideal candidate is someone who loves helping others by creating highly functional spaces that allow our tenants to shine. With your technical expertise, you will take a proactive approach to ongoing maintenance, problem-solving and daily operations.

This is a full-time, in-person salary position based in Victoria, BC.

Key Duties

  • Oversee repairs, snow removal, janitorial concerns, and occasional construction projects
  • Tender and coordinate vendor contracts for maintenance and construction
  • Perform site visits and walk-arounds for properties, checking for littler, graffiti, vandalism and deterioration
  • Manage security systems, including the fob system, keys, and related protocols
  • Manage emergency preparedness plans, including conducting regular fire and safety reviews
  • Participate in budgeting, tracking cash flows and overseeing the financial management of facilities
  • Oversee tenant move-ins and move-outs, maintaining accurate records in Yardi and ensuring smooth transitions
  • Administer and monitor preventative maintenance service contracts from beginning to end
  • Manage the procurement process for all equipment and materials
  • Tender trades work as required and oversee projects through to completion
  • Oversee and manage parking lot operations, including enforcement as required
  • Collaborate with Ownership to ensure that all assets are properly insured with accurate, recent appraisals and competitive quotes
  • Collaborate with Accounting as required to prepare arrears reports and follow-up with delinquent tenants
  • Oversee the waste stream contracts and delivery
  • Provide support to Fort Common event staff as required to help achieve their objectives

What We Look For

  • 3+ years of experience in facilities or property management OR
  • 2+ years of experience in maintenance or construction development
  • Post-secondary education in trades or business management
  • Customer service experience is a must
  • Valid BC Driver’s license and a reliable vehicle (mileage will be provided)
  • Certifications in trades or project management will be considered an asset
  • Prior experience working with Yardi is considered an asset

Skills, Abilities and Personal Qualities

  • Comfortable with standard maintenance and repairs
  • Strong communications skills with customers and the Fort team
  • Excellent time management and organizational skills
  • Understanding of building technologies/systems, including maintenance of typical heating or cooling systems (HVAC), plumbing, electrical, etc.
  • Sound working knowledge of standard software applications, including Microsoft Office
  • Ability to work independently
  • Ability to learn new systems and continually update skills
  • Comfortable working on your feet and lifting 50+ lbs
  • Solid understanding of the Residential Tenancy Act of BC
  • General knowledge of provincial occupational health and safety requirements, WCB, and WorkSafeBC.
