Education

The Payroll Office processes payroll, administers deductions, issues Records of Employment and prepares T4 tax slips for all employees at the University of Victoria.

The Financial Services portfolio includes the administrative areas of Purchasing, Research Accounting, Payroll, Accounts Receivable, Accounts Payable, Banking, Service Excellence and Financial Services university Strategic Framework initiatives. Financial Services works with, and provides support to all areas of the university community to ensure effective training, controls, compliance and core business policies and processes are met. Financial Services aligns the planning and goals of the portfolio to the Vice President Finance and Operations vision and the University’s strategic framework.

Under minimal supervision, working as part of a team and focusing on quality customer service, the Payroll Generalist is responsible for all aspects of the Payroll lifecycle and related functions including: 

  • Accurately update and maintain employee records in the payroll system
  • Code and key appointments and timesheet payments in accordance with campus collective agreements, University policy and procedure, labour standards and HRSDC regulations;
  • Provide customer support to Department and Web Time Entry users;
  • Assist in design of payroll forms and client training documentation
  • Provide guidance on new payroll changes to departmental administrators
  • Participate in client user training across campus
  • Prepare Records of Employment

The Payroll Clerk is responsible for providing client service to external and internal users (faculty, staff) and works closely with administrative offices across the university.

Job Requirements

Skills:

  • Proficiency with MS Windows Office Suite
  • Ability to effectively use interpersonal skills to provide excellent client support and build working relationships
  • Demonstrated ability to take responsibility and accountability to ensure high quality of work
  • Ability to manage changes in work tasks and effectively work within changed process, structure, requirements.

Specialized Knowledge/Education:

  • Completion of Payroll Compliance Practitioner (PCP)
  • Completion of recognized accounting courses toward a certificate or diploma program
  • Advanced knowledge of Excel
