Key Responsibilities:
Event Leadership
- Act as the on-the-ground lead for all events, working closely with the Conference Coordinator to ensure seamless execution from start to finish.
- Collaborate with the Conference Coordinator to bring the Banquet Event Order (BEO) to life, as outlined in Tripleseat.
- Set the tone for a welcoming, vibrant atmosphere while swiftly and professionally handling any guest needs or issues.
- Execute the physical setup of event spaces, ensuring layouts meet safety standards and align with the event vision and BEO.
- Support the team in achieving event-related revenue targets through smooth service, upselling opportunities, and thoughtful execution.
Bar Operations
- Manage bar orders, inventory, and quality control to ensure consistent stock levels and top-tier beverage service.
- Deliver exceptional cocktail and beverage service that aligns with club standards, guest preferences, and all licensing regulations.
- Use your mixology skills to design and update seasonal cocktail menus and create custom drinks for private events.
- Train, schedule, supervise, and support bar staff to maintain a high level of service, teamwork, and operational efficiency.
- Ensure full compliance with liquor licensing laws and health and safety protocols.
- Regularly inspect the bar and event spaces for maintenance or wear and tear.
- Coordinate with the Member Service Manager to ensure timely repair.
Team & Floor Leadership
- Act as the point person for Front of House staff during events, giving direction, assigning tasks, and ensuring everyone is clear on timing and responsibilities.
- Lead pre-event walkthroughs and quick team huddles to align staff, confirm details, and set expectations.
- Maintain a strong floor presence during events — you’re not just behind the bar, you’re making sure the flow feels good, the energy is right, and the team is working in sync.
Communication & Coordination
- Maintain clear communication between the Conference Coordinator, Member Service & Catering staff (when applicable), and FOH team to ensure smooth execution of all events.
- Flag any issues or gaps in the event plan early and suggest creative, practical solutions.
- Debrief post-event to offer feedback and insights that help improve future event execution.
Ambassadorship & Culture
- Represent KWENCH values in every interaction — you’re a key culture-carrier and hospitality lead during events.
- Create a polished and fun vibe where clients feel cared for and staff feel empowered.
- Help ensure events feel true to the KWENCH brand: inclusive, vibrant, and intentional.
Club Support
- Support the Member Service team as needed for all club & member needs.
