Schedule: Wednesday–Sunday (variable based on event schedule)
Hours: Variable depending on events; availability required between 9:00am–5:00pm

Bilston Creek Farm is a lavender, apple, and honey farm located in rural Metchosin, beside a protected park that leads to the ocean. Our farm is deeply connected to the land and the seasons, offering a peaceful, natural setting where agriculture, community, and celebration intersect.

As a destination, Bilston Creek Farm is known for its authenticity, beauty, and thoughtful approach to hospitality. Our events invite guests to experience the farm in a meaningful way, whether through a seasonal market, a hands-on workshop, or a wedding set against the backdrop of the lavender field, orchard, and coastal forest.

We are seeking an Events Manager who is equal parts organizer, host, and collaborator. Someone who thrives in a hands-on environment, loves bringing people together, and takes pride in executing thoughtful, well-run events. This role sits at the heart of our guest experience, working closely with our Wedding Manager, Operations team, and Marketing to bring Bilston’s signature events to life.

As Events Manager, you will lead the planning and execution of our festivals, signature markets, workshops, and other agritourism activities while supporting the Wedding Manager with up to 10 weddings per year. You will be responsible for coordinating vendors, staff, schedules, and on-site logistics ensuring each event reflects Bilston Creek Farm’s high standards of hospitality, beauty, and organization.

Roles & Responsibilities

Weddings

  • Receive and forward all inquiries to the Wedding Manager
  • Coordinate site visits for the Wedding Manager or conduct site visits on their behalf
  • Collaborate with the Wedding Manager to ensure all logistics and timelines are confirmed
  • Assist the Wedding Manager on wedding days as required
  • Arrange appropriate staffing for all weddings
  • Monthly to weekly meetings (virtual) with the Wedding Manager based on busy season
  • Update any internal documentation from the Wedding Manager

Seasonal Events, Markets & Agritourism

Planning & Coordination

  • Plan and coordinate seasonal attractions and activities, such as:
  • Seasonal markets/public events/festivals/workshops
  • Private events
  • Farm stay
  • For markets in particular, oversee:
  • Vendor communication, selection and coordination leading up to market and event dates ensuring they are informed, prepared, and supported
  • Spreadsheets, Google Forms, and event documentation

Operations & Staffing

  • Liaise with Operations Manager regarding indoor/outdoor setup requirements, signage, and flow
  • Arrange and manage appropriate staffing for events
  • Oversee event-day execution to ensure smooth operations
  • Oversee glamping tent set up and detailing with operations staff
  • Coordinate distillation demonstrations with operations staff

Post-Event Administration

  • Manage invoicing and coordinate vendor payouts with the bookkeeper following markets and events

Marketing & Communications

  • Collaborate with the Social Media Coordinator to promote offerings
  • Layout and send email campaigns for upcoming events
  • Maintain and segment email lists
  • Develop and maintain a shared annual calendar of events in Bilston’s Google Calendar

Administration & Internal Support

  • Respond to all wedding and seasonal event inquiries promptly via phone and email
  • Edit and proofread internal documents and communications
  • Maintain a comprehensive photo library of the property and events in Google Workspace
  • Attend management meetings to provide updates, share insights, and receive feedback
  • May be requested to present to the owners and contribute to departmental growth planning

Preferred Experience & Skills:

  • 2-3 years experience in events and event planning, or recent graduation from hospitality management program
  • Familiarity with the following would be useful: FloDesk, Canva, Shopify POS, Homebase, and Google Workspace (training provided as required)
