Role Overview
The Payroll Administrator & Finance Clerk plays a key role in ensuring accurate and timely payroll processing while providing essential financial and administrative support across the Finance department. This role manages payroll cycles, maintains employee compensation records, and ensures compliance with employment standards and payroll regulations.
In addition, the position supports invoicing, recurring billing updates, subcontractor payment calculations, data entry, and general financial administration. The ideal candidate is detail-oriented, organized, and experienced in working with confidential information, payroll systems, and administrative workflows.

Schedule
This is a full-time permanent position with 8-hour shifts from Monday – Friday for a total of 40 hrs weekly.
What we Offer
Competitive Salary:

What You’ll Do:
Payroll Administration & Processing
- Prepare, verify, and process semi-monthly payroll for all employees
- Maintain up-to-date payroll records, including employee changes, wage adjustments, and benefit deductions
- Review and validate timesheets, hours, overtime, and leave submissions
- Ensure compliance with employment standards, payroll regulations, and internal policies
- Prepare monthly payment calculations for subcontractors
- Process final pay and ROE for employees
- Support year-end processes including T4 preparation and reconciliation
Contract & Employment Documentation
- Monitor and manage employee contracts
- Maintain accurate employment files
- Coordinate with HR and departmental managers to ensure timely updates to agreements and forms
- Track and update compensation or contract-related changes in company systems
Financial & Administrative Support
- Assist with updating monthly billing schedules
- Help prepare and process client invoicing as needed
- Support data entry, filing systems, and document management across Finance & Administration
- Collaborate with team members to support process improvements and automation initiatives
- Provide administrative support to the Controller and Finance team
Communication & Coordination
- Communicate with employees regarding payroll inquiries, discrepancies, or documentation needs
- Liaise with external service providers (e.g., benefits administrators, payroll system vendors)
- Ensure timely and accurate distribution of payroll-related reports or notices
- Work closely with internal teams to support smooth financial and administrative workflows
What You’ll Bring:
- 1–2 years of payroll or administrative experience (an asset)
- Post-secondary education
- Proficiency in Excel and other Microsoft Office applications
- Experience with payroll platforms (e.g., Payworks, Ceridian, ADP, or similar)
- Preference for experience in Payworks and related HRIS
- Excellent critical thinking and problem-solving skills
- Strong verbal and written communication skills
- Ability to meet deadlines in a high-volume and deadline-driven environment
- High attention to detail and accuracy
- Capable of working with confidential financial and employee information
