Position Summary

The Triage Coordinator is a full-time administrative and program support role that provides centralized intake, triage, and scheduling support for OBVS and the Greater Victoria Community Connector Program. This role plays a key part in ensuring timely, welcoming, and well-organized access for participants, referrers, and community partners. The Triage Coordinator manages incoming referrals and inquiries, conducts initial intake screening, provides light-touch participant engagement and resource sharing, and coordinates scheduling and administrative systems for the Community Connector Program Director. The role also supports core office operations, contributing to the smooth day-to-day functioning of OBVS. This position does not carry an ongoing participant caseload or conduct in-depth assessments or wellness planning.

 

Hours of Work

·        Full-time, permanent position

·        37.5 hours per week

·        Monday to Friday, 8:30 AM to 4:30 PM with lunch break observed from 12:00 to 1:00 PM

·        Statutory holidays observed

 

Key Responsibilities

Referral Intake & Triage

·        Serve as the primary point of contact for Community Connector referrals and program inquiries

·        Monitor and manage the program phone line and inbox

·        Conduct initial screening to confirm eligibility, clarify needs, and assess urgency

·        Provide light-touch information and resource sharing where appropriate

·        Assign eligible referrals to Community Connectors based on location, capacity, and priority

·        Ensure consent requirements are clearly explained and documented

Participant Engagement & Scheduling

·        Provide brief, phone- or email-based support and program orientation

·        Coordinate scheduling and calendar support for the Community Connector Program Director

·        Maintain accurate referral, waitlist, and appointment records

·        Support smooth information flow between participants, referrers, and staff

Office & Administrative Support

·        Serve as the first point of contact for in-office visitors and general inquiries (excluding Helpline calls)

·        Maintain office supplies, mail, donations, and filing systems

·        Assist with document preparation, correspondence, and internal communications

·        Support meeting logistics and small internal events

Financial & Records Support

·        Prepare bank deposits and assist with petty cash and donation tracking

·        Enter donation data and issue receipts

·        Support accurate administrative record keeping

Team & Organizational Support

·        Apply OBVS policies, procedures, and ethical standards consistently

·        Participate in team meetings, training, and learning opportunities

·        Represent OBVS and the Community Connector program professionally

 

Qualifications & Experience

·        Post-secondary education or equivalent experience in administration, social services, or community-based programs

·        Experience in an administrative, intake, triage, or coordination role

·        Strong organizational and time-management skills

·        Excellent written and verbal communication skills

·        Strong computer skills (databases, calendars, Google Suite and/or Microsoft Office)

·        Sound judgment and ability to prioritize and triage effectively

Compensation & Benefits

·        Salary: $55,000 per year

·        10% in lieu of pension (after 3-month probation)

·        Extended health and dental benefits (after probation)
